Retiree RCI to ScarletMail Migration

Thank you for your service to Rutgers, The State University of New Jersey.

Current faculty and staff of the University are being migrated to a new collaboration system, Rutgers Connect. Retirees will not be migrated to this system. Rather, they will need to move their mail to the ScarletApps collaboration system.

Due to the security limitations of the ScarletApps system, the Office of Information Technology and our migration vendor, Comparex, will not be able to automatically migrate your RCI email.

Below is the migration process. It may take some time (upwards of 35 minutes).

 

Creating a Scarletmail Account:

First, you need to have an active ScarletApps account. This email address will be <NetID>@scarletmail.rutgers.edu instead of <NetID>@rci.rtugers.edu. To activate ScarletApps, please follow the below steps:

 

  1. Go to https://netid.rutgers.edu/

  2. Click on Service Activation (the second link from the top on the left hand side)

  3. Log in using your NetID and password

  4. Make sure that you have a checkmark next to “ScarletApps, including ScarletMail Google for Rutgers (automatically activated for students)”

    1. If you see “You already have this service” next to the ScarletApps service, please skip down to the next section.

  5. Click the “Activate Services” button

  6. It may take a few moments, but you will soon be redirected to a page with your NetID in a blue banner.

 

Your request for a ScarletMail account is now being processed. However, it will take approximately 30 minutes for the account to be fully provisioned. During this time, you should add your new @scarletmail.rutgers.edu account to your Delivery Addresses and set up RCI in Thunderbird (a free mail client we reccomend you use to move your email from RCI to ScarletMail).

 

Adding a Delivery Address:

  1. Go to https://netid.rutgers.edu/

  2. Click on Manage Email Addresses

  3. Log in using your NetID and password

  4. The middle section of the page is labeled “Delivery Email Account” In one of the empty text boxes, type in your <NetID>@scarletmail.rutgers.edu email address

  5. Click “Add Delivery Address”

  6. At the top of the screen, you will shortly see a message “Delivery address <NetID>@scarletmail.rutgers.edu added succesfully.”

 

After you have waited the 30 minute period, please try to log in to your ScarletMail email by going to https://mail.scarletmail.rutgers.edu.

If you can log in, that’s great! You can continue with the migration process. If you are unable to do so, wait another 90 minutes and then try again. If you are still having issues after waiting a total of 120 minutes, please call the OIT Help Desk for assistance at 848-445-4357.

 

In order to have ScarletMail synchronize with Thunderbird later on in the process, while you are logged in to your ScarletMail account:

  1. Click on the gear icon in the upper-right corner

  2. Click on “Settings”

  3. Click on “Forwarding and POP/IMAP” which is the sixth item of text in from the left in the new menu bar that appeared under “Settings”

  4. Under “IMAP Access” click “Enable IMAP”

  5. Click “Save Changes”

Now that your ScarletMail account is active, you will set up your RCI email to forward all new email to your ScarletMail account.

 

NOTE: This will only work as long as mail service remains active on RCI.  Once it’s decommissioned, anyone writing to netid@rci will get “No such user” errors.  Tell correspondents to use netid@rutgers.edu or first.last@rutgers.edu (or netid@scarletmail) instead (their choice) before mail ceases on RCI.

 

To do this:

  1. Go to https://webmail.rci.rutgers.edu

  2. Log in with your NetID and password

  3. Click on the “Webtools” link at the top of the page

  4. Click on “forward”

  5. Click on “Setup forward”

  6. In text box to enter the email address to forward to, enter your <NetID>@scarletmail.rutgers.edu email address that we just activated.

  7. Click “Submit.”

 

Now that you are forwarding all new email over to ScarletMail from RCI, it’s time to move over the email that you currently have in RCI. To do this, you will set up both accounts in a desktop mail client called Thunderbird and then move the email like that. ScarletMail has unlimited storage, so don’t worry about going over a quota of any sort.

  1. If you do not already have Thunderbird installed on your computer, please go to https://www.mozilla.org/en-US/thunderbird/ and download Thunderbird. Once the application is installed open it and then continue with the process.

You should now see your RCI email in Thunderbird complete with all of your folders.

 

Now, add your ScarletMail email account to Thunderbird.

At this point, there should be two bolded email addresses on the left sidebar, your RCI email account and your ScarletMail email account.

 

Moving Mail:

Now, you can go ahead and begin the process of moving your email from RCI to ScarletMail.

For SPAM:

  1. Open the AUTO-DELETED-SPAM folder under your RCI email account. Select all messages there and drag them into the “Spam” email folder under the Gmail folder in the ScarletMail account. You may be required to click on the arrow next to Gmail to see the folder.

For TRASH:

  1. Open the Trash folder under your RCI email account. Select all messages there and drag them into the “Trash” email folder under the Gmail folder in the ScarletMail account. You may be required to click on the arrow next to Gmail to see the folder.

For DRAFTS:

  1. Open the Drafts folder under your RCI email account. Select all messages there and drag them into the “Drafts” email folder under the Gmail folder in the ScarletMail account. You may be required to click on the arrow next to Gmail to see the folder.

For Sent Mail:

  1. Open the Sent folder under your RCI email account. Select all messages there and drag them into the “Sent Mail” email folder under the Gmail folder in the ScarletMail account. You may be required to click on the arrow next to Gmail to see the folder.

For any subfolders:

  1. Simply click and drag the folder from RCI to “Inbox” under ScarletMail. This will move

For your main RCI Inbox:

  1. Open the Inbox folder under your RCI email account. Select all messages there and drag them into the “Inbox” email folder in your ScarletMail account.
