When Mailman holds a list for moderation (as determined by rules set in the Mailman list's configuration) a message is sent to all Owners and, if the list has any, all Moderators for that list.
Here is an example of a moderation approval request:
The link in the email takes you to a web page that displays the messages waiting for Owner/Moderator approval.
At the top of this page is a short description of the what the page is for. If there are any messages needing approval, you will see something like:
These boxes will be displayed for each message waiting for approval.
First the left
There are several options for each message. First you are given four delivery options:
Defer - This means no decision has been made about the message yet. All messages waiting for approval will be set to Defer by default.
Accept - This means the message will be forwarded to the Mailman list and distributed to it's members.
Reject - This means that the message will not be forwarded to the Mailman list and the message's sender will get a message telling them that it has been rejected.
Discard - This means that the message will not be forwarded to the Mailman list. No mail will be sent to the message's sender.
Any selection but Defer will remove the message from the list of messages waiting for approval.
The next option is "Preserve messages for the site administrator." This option is for if you thought the message contains something that you thought should be brought to the attention of the Mailman site administrators. However, Rutgers does not monitor that at this time. If you found a message that you think needs to be brought to Rutgers' staff's attention, you can use the "Forward messages (individually) to:" option to deliver it to us.
The next option is "Forward messages (individually) to:". There is a text box you can edit that allows you to select what email address to forward the message to. The text box will have the address of the owners of the Mailman mailing list by default. You must select the small checkbox to the left of this option (left of "Forward") to select this option.
If you found a message you believe should be brought to Rutgers's staff attention, you can enter the email address email@example.com in this text box.
The next option allows you to add the message sender to one of the sender filters (as described in Privacy Options - Sender Filters). Each of these options add the sender's email address to the permanent filters listed on the Sender Filters page. The options are:
Accepts - This means that all mail from this email address will be forwarded to the Mailman list.
Holds - This means that all mail from this email address will be held for moderation.
Rejects - This means that all mail from this email address will be discarded and a message will be sent to the sender letting them know the message has been rejected.
Discards - This means that all mail from this email address will be discarded and no message will be sent to the sender.
You must select the small checkbox to the left of this option (left of "Add") to select this option.
The last option on the left allows you to ban the sender's email address from subscribing the to list. Their email address will be added to the ban_list as described in Privacy Options - Subscriber Rules.

You can perform several of these actions at once, selecting Discard to have the message discarded, forward a message to someone, set the sender to be permanently added to the Discards list, and Ban them all at once.
The last option is Discard all messages marked Defer.
This allows you to discard all the messages marked Defer at once without having to select Discard for each one.
Lastly, you must click the Submit All Data button to have your choices performed by mailman.
On the right side, is information on the message behind held for moderation.
You also have the option to read the held messages by clicking on the number next to the Subject. You can also choose to see all messages from that sender.
